Introduction recording the Examination programme for the program manager

Aangepast op

Each academic year, the curriculum for all programme variants must be re-established. This is necessary because changes may occur in both the offering and the content of a programme variant. The information entered into TimeEdit forms the basis and ultimately flows into systems such as Osiris. In Osiris, the examination programmes are assigned to students and results can be recorded. It is therefore essential that the data in TimeEdit is complete and accurate.

It is part of the year route Examination programmes and courses.

This manual is an introduction for the TimeEdit role Program manager

Role of the Program Manager in the proces

The program manager is ultimately responsible for establishing the curriculum for bachelor’s, master’s and associate degree programmes. The process starts and ends with this role.

Within this process, two functions are defined:

  • Program Manager – Managing: starts the process of establishing the curriculum for the next academic year. This task may be delegated to a team leader.
  • Program Manager – Reviewing: reviews and confirms the curriculum at the end of the process.

What happens before this step?

Before the program manager (managing role) begins, the Quality and Regulations team (K&R from OSS) completes the following preparatory steps:

  • All CROHO programmes and programme variants have been created and maintained in TimeEdit.
  • New CROHO programmes have been added with the corresponding information.
  • Programme variants have been configured as the basis for the examination programme.

This foundation is essential: the examination programme is linked to a programme variant. Once this structure is in place, the Program Manager – Managing may begin updating the examination programme.

Tasks for the Program Manager - managing

  • Reviews the examination programme for the programmes they are responsible for.
  • Checks whether the programme is still up to date.
  • May remove, move or add new courses.
  • Ensures the structure of the examination programme is correct and aligns with current educational content.
  • Prepares the examination programme for the next step.

Note: this manual explains how to perform these tasks within TimeEdit.

What is the next step?

Once the Program Manager – Managing has prepared the examination programme structure:

  1. Course coordinators review and edit their courses. They may make changes based on new insights, content updates or adjustments to teaching methods.
  2. Curriculum coordinators review all changes. They assess whether the coherence of the programme is maintained and may revert changes by course coordinators if necessary.
  3. Key users within the academy perform an administrative check on the programme.
  4. Finally, the entire updated examination programme returns to the Program Manager – Reviewing, who gives final approval for the educational offering of the upcoming study year.

Structure of the updated educational model

The examination programme consists of several layers. It is important that this hierarchy is structured correctly so the programme is transferred to Osiris without errors. The top layer ultimately becomes the examination programme in Osiris. The layers are:

  1. Examination programme the highest level; this becomes a separate programme in Osiris. There are two top-level examination programmes: Propedeuse (D) – first-year phase and Bachelor phase (B)
Note: At this level, you can also add “old-style clusters”. In TimeEdit, this appears as Test (OLD). Here you place phased-out tests offered one last time.
  2. Study years subdivision by academic year; only required within the bachelor phase. In TimeEdit, this is the Year (Y) type.
  3. Examination component (cluster) bundles of related courses. There are five types:
    1. Compulsory components – all courses must be completed.
    2. Choice components – the student selects one of the underlying components.
    3. Elective courses – the student selects a number of courses from a defined set.
    4. Minor space – a minor chosen in Osiris is later added to the student’s examination programme.
    5. Specialisation space – linked to a specialisation, resulting in a diploma annotation.
  4. Courses each component contains courses. A course consist of a combination of teaching activitiy's and test activities. In Bison, the terms module, learning units and tests were used. In TimeEdit, the term course replaces module. A course always contains at least one test, and usually one or more teaching activities. These elements are inseparably connected..
