This manual is for the program manager and describes how to manage the exam programme for the following academic year. It describes the workflow, including explanations of functionalities, points of interest, and tips for correct and efficient processing.

Workflow managing the examination programme
A workflow opens, which are the steps or activities that need to be performed to complete a specific process from start to finish. This workflow consists of several pages, each containing specific parts of the examination programme that must be reviewed, edited or completed.
1. Onderwijsaanbod gegevens (Educational offering - overview)
This page provides an overview of all programme data. Nothing can be changed here; this page is purely informative. If this data change, you need to create a new programme variant.
Note: If data is incorrect, create a Topdesk ticket.
2. Examenprogramma beheren (Managing examination programme)
This is the page where you manage the programme structure. The complete structure of the programme variant is shown here, including the various examination programmes.
2.1. Managing the programme structure
You manage the structure by adding, editing or moving examination components.
- Click on +Add part, the following screen opens.
2. Choose for New or Current, for a new component, fields marked with an asterisk are mandatory.
3. Choose at Type one of the five different examination components. Enter the course name (in Dutch and English), the number of credits, and the remaining information.
Then click Save.
Within the examination component, several changes may occur.
4. Moving an existing course (via the signpost icon).
5. Editing the link between a programme and a course (via the paperclip icon).
6. Editing an existing course (via the pencil icon)
7. Add an excisting or new course (via the plus icon). This opens a screen with a different workflow for creating a new course. How to do this is described in “Creating a new course”.
8. Remove an existing course from the offering (via the bin icon).
2.2. Defining offering periods and involved staff
As a program manager, you can edit a course from within the structure of an examination programme. You do this by clicking on a course. When you open a course, a new workflow with multiple steps will start.
Note: You can only open courses highlighted in blue – these are the courses you own within your programme variant.
1. Algemene gegevens cursus general course information In this first step, you can see the basic information of the course. You cannot make any changes here; it is for verification purposes so you know which course you are working on.
2. Aanschuifonderwijs Supplementary education Here you determine whether the course will also be available as supplementary education. This means that the regular course appears on the Saxion website, allowing external students to enrol.
3. Kwartiel cursus (edit) Course quarter (edit) In this step, you indicate in which quarter the course is offered. This is usually already set correctly, but you can make changes if needed.
Select an offering period. Each offering period you define counts as a start date for the course.
Examples:
- Selecting Quarter 1 means the course starts and ends in Quarter 1 (teaching). A resit may occur later.
- If a course spans two quarters, choose Semester 1 instead of Quarter 1 and 2.
- Selecting Quarter 1 and Quarter 2 separately creates two distinct start moments—only use this if the course starts twice.
What can you change here?
- Move a course from one quarter to another.
- Offer the course at multiple locations (e.g., Deventer and Enschede)
Let op! Each quarter–location combination requires its own entry.
4. Betrokkenen Involved staff course Here you add people to the opened course. A person can have multiple roles, and roles can be adjusted later.
- Course coordinator: crucial, as this person will further complete the course later.
- Teachers: operational role, they receive access to Osiris.
- Examiners: allowed to assess the course.
5. Toetsschema test schedule
Finally, you review the test schedule. Here you can see all the tests associated with the course and manage the corresponding activities. This provides insight into how the tests are organised and which components still require attention. You can leave this to the course coordinator, but if you want to make any changes yourself, follow the steps below:
- Select the correct offering period. Use the bar at the top of the screen to switch to the appropriate period (for example, Quarter 1 – D, Deventer).
Note: you will only see the offering periods you have previously set up. If your period is not listed, create it first. - Add a test opportunity. Click +Add to create a new test instance.
- Copy test opportunities. Click Copy to duplicate existing opportunities from one period to another.
3. Betrokkenen (involved roles)
In this screen, you enter the curriculum coordinator, who will later review all changes in courses that are part of the examination programme and, if necessary, add the advice of the examination board. You can also adjust the role of programme manager.
- Click + Add to add names.
4. Afronden (finalising)
Each workflow ends with a Finish page. Here you formally complete your part of the process and forward the workflow to the next role or further into the educational logistics chain.
After this step, all course coordinators will begin maintaining their courses.
