How do I edit media?

This guide covers how to edit and manage your media, offering options like metadata management, publishing settings, thumbnail customization, and more, so you can ensure your content is exactly how you want it.

Access the edit media page from My Media

  1. Access the My Media Page
  1. Click the three dots to the right of the desired media and select Edit.

OR

  1. On the My Media page, click on the thumbnail or title of the desired media.

  1. Click the three dots and select Edit.

Edit media metadata

Media metadata refers to the descriptive information associated with a media file, such as an image, video, or audio file. This metadata includes details like the title, author, creation date, file format, duration, resolution, location data, and tags that describe the content. It helps in organizing, searching, and managing media files efficiently by providing essential context and information about the file.

Add or edit metadata

  1. Access the Edit media page.

The Details tab displays by default.

Fill in or modify the various metadata fields:

  • Name- A name for your media item (required).
  • Description- A description for your media item. Use the buttons above the text box to format the description text.
  • Tags* - Tags to identify your media item. For ease of use and to encourage tag consistency, as you type, suggestions are displayed based on tags already used in this account.
  1. Click Save.

* Tags are useful for the following:

  • Searching - You can search by metadata (tags) in the global search to find specific content.
  • Related media (works specifically only with tags). Any media that has an identical tag to the current one viewed, is displayed in the related bar on the right.

Schedule media

Scheduling media in Kaltura's video portal allows you to control when your content becomes viewable to your audience. In this guide, we'll walk you through the steps to set up specific start and end times for your media, ensuring it appears exactly when you want it to. Whether you're planning a future release or managing past content, scheduling helps you keep your video portal organized and timely.

Enabling clipping

Clipping creates a new entry from an existing one and lets you control the start and end time for the new entry. This is very useful if, for example, you want to shorten an intro to a long lecture or clip the lecture into several shorter clips divided by subjects. The clipped content appears in MyMedia as a new entry and doesn't affect the original one.

Access the clipping settings

  1. From the user menu, select My Media.

The My Media page displays.

  1. Click the three dots to the right of the desired media and choose Edit from the menu.

Enable clipping

  1. Click the Options tab.
  1. Clipping- Click Enable everyone to create clips from this video.
  1. Click Save.

Disable comments and close discussion

You can easily disable comments and close a discussion on yourmedia. Follow these steps to manage your media's interaction settings.

Access the Edit Media page

  1. On the My Media page, click the three dots and choose Edit.
  1. When the Edit Media Page opens, click the Options tab.
  1. Check Disable comments for this media.

The Comments tab is now hidden on the media page. Comments that were entered before you disabled the comment feature will be shown if you re-enable comments.

Comments cannot be disabled/enabled for multiple channels at once.

  1. Check Close discussion (do not allow new comments).

On the Comments tab of the media page, "Discussion is Closed" appears and the "Add a Comment" field is hidden.

Change media ownership and add collaborators

Media owners can transfer ownership to someone else, which is useful if the owner is leaving the organization or switching responsibilities. They can also add co-editors, co-publishers, co-viewers, and Webcasting moderators. Read the article Media collaboration for further instructions.

Filter entries by ownership

  1. On the left side of the My Media page, click on the Ownership filter to display the options.
  1. Select one or more of the filters.

The results display immediately.

Set and modify thumbnails

Kaltura automatically generates a default thumbnail for each video, capturing a frame at the three-second mark. You have the flexibility to set and manage your own thumbnails.

Editing thumbnails is not applicable for YouTube entries or Interactive Video Path entries.

Access the thumbnail settings

  1. Access the edit media page.
  2. Click on the Thumbnails tab.

Set and manage thumbnails

  1. There are four options for setting and managing a thumbnail:
  • Upload Thumbnail - Upload a thumbnail from your computer and use it as the default thumbnail.
  • Capture - Use the player to select the frame you want to use as your default thumbnail and then click on the Capture button.
  • Auto-Generate - Select one thumbnail from ten automatically generated thumbnails of the selected video and set it as the default thumbnail.
  • Download - Download a thumbnail to back up your current thumbnail.

Upload a custom thumbnail

  1. Click Upload Thumbnail.
  1. Select a file from your computer and click Open.

The new thumbnail displays with a success message: Thumbnail saved successfully.

Capture a frame from the content

  1. Click the play button on the player.
  2. Click Capture at the frame that you want to use as a thumbnail.
  1. The captured frame is saved automatically and displays as the thumbnail.

Select an automatically generated thumbnail

  1. Click Auto-Generate.

  1. Select a thumbnail.

The new thumbnail displays.

Download a thumbnail

  1. Click Download.
  2. Save your image.

Add speakers / presenters

Adding presenters / speakers to your media lets you highlight speakers and make their names clickable links for viewers. By clicking a presenter's name, users can access their profile and see all the media they're involved in. It's an easy way to showcase presenters and organize content featuring them.

Access the Presenters tab

  1. From the user menu, select My Media.

The My Media page displays.

Locate the desired media and click the three dots to the far right, then select Edit.

Add presenter

  1. Click the Presenters tab.
  1. Click Add a Presenter.

  1. Type a name or names. Start typing and auto-complete will be presented for users and groups. For exact name searches, use quotation marks, for example, 'John'.
  2. Click Add.

The presenter is added.

  1. Click Back to Media Page to see the presenter's name on the mediaentrypage.

The speaker's name displays on the opening screen (hero) as well as with the session information below.

User experience

When a user clicks on a speaker's name, a box will open to display the speaker's bio. From there the user can click See profile page and be taken to the speaker's profile page, where they can view details about the current session and any other sessions the speaker is participating in.

Enable media download

  1. Navigate to the entry you want to enable and click on it.
  1. In the entry page, click the 3 dots menu and choose Edit.
  1. In the edit media page, click on the Downloads tab.
  1. Click one or more of the available formats in which you'd like users to be able to download (your administrator has already set the formats you can choose from).
  1. Click Save.

Upload and manage captions

In Kaltura's Video Portal, you can upload caption files for any media that you own or have editing privileges to. The Video Portal supports SRT, DFXP, or VTT file types. You can add multiple captions files to each entry, for example, subtitle captions in multiple languages, and label each language.

Upload a captions file

  1. Access the Edit Media page for the media you want to add captions to. You can choose one of the following ways:
    • Click on the three dots next to the desired media and choose Edit.

OR

  • Click on the thumbnail or title of the desired media, then choose Edit from the Three dots drop-down menu.

  1. Click the Captions tab.
  1. Click Upload captions file

The Upload a captions file window displays.

  1. Click Browse and select an SRT, DFXP, or VTT caption file.
  2. Select the language from the Language dropdown menu.
  3. In the Label field, type a label to display in the caption selector. (The caption selector displays caption options in the media player.)
  4. Click Save to upload the file.
    The file is added to a table under the Captions tab.

To upload another file, click Upload captions file again and repeat.

Set a default captions file

If users upload their own caption files while others use REACH captioning, REACH captions are usually set as the default. Users who upload their own captions simply need to select the "Set as default" option after uploading.

Under Actions, click the checkmark in the caption row to set it as default.

Delete a caption file

Under Actions, click the x in the caption row to delete the file.

A warning message displays.

Download a captions file

You can only download a media you're the owner of. If you are the co-publisher, co-editor, or co-viewer, you will not be able to download the media.

Under Actions, click the download icon in the caption row.

The default file name will be English.srt, but you can rename it.

Kaltura captions only outputs SRT or DFXP format, not VTT. However, if you manually upload a VTT, then that becomes downloadable for others.
