How do I track student attendance with Attendance?

Attendance-tool

With Attendance you can keep track of who attended which meeting. You can see at a glance what percentage of the lectures were attended by a student and which students did not attend often enough.

  1. Click on Course Admin in the navigation bar of your course.
  2. Click on Attendance under the heading Learner Management.

Create an attendance scheme

You keep track of attendance in a register. Before you can create a register, you must set up an Attendance Scheme. In a scheme you determine which options you have for tracking attendance. For example, you can set that students can not only be present or absent, but also that they are absent with good reason or that they have left class earlier.

  1. Click Attendance Scheme. You can see that the System Scheme is the standard attendance scheme. Note: you can choose a different scheme than the default scheme by clicking Set behind the scheme.
  2. Click New Scheme.

If you already use a scheme in one or more registers, you will see an information icon behind the name of the scheme. Click here to see which registries use this scheme.

  1. Enter the name of the attendance scheme.
  2. Enter an abbreviation/symbol for each status. This is what you fill in when recording attendance.
  3. Under Status Full Name you enter what the status means (for example present, absent or absent with a good reason).
  4. Under Assigned % you indicate for what percentage this option counts.
  5. Add more status options if necessary: enter a number and click Add Statuses.
  6. Click on Save to save the attendance scheme and on Close to return to the overview.

Create an Attendance Register

To record the attendance of students, you must create an Attendance Register. This is where you keep track of attendance. Do you want to record attendance for multiple lecture series or track attendance separately for each group within your course? Then you can create multiple registers for this.

  • Navigate to Attendance Registers. (Course Tools > Course Admin > Attendance)
  • Click New Register.
  1. Fill in the name and description.
  2. Select which Attendance Scheme is used in this registry from the drop-down menu.
  3. Under Cause for Concern, set the minimum percentage of the meetings that the student must have attended.
  4. Under Visibility, select whether students can view their noted attendance.
  5. Under Users, select whether you want to track the attendance of all students (Include all users in the course) or only the people in a specific group (Include all users in the following groups/sections). If you choose a specific group, then click on Add Groups/Sections and choose the group for which you want to track attendance. In this way you can keep several registers within one course for different workgroups or supervisors, for example.

Students do not yet have access to view Attendance.

  1. Under Sessions you set for which meetings you want to track attendance. To do this, enter the name, description and order of each meeting.
  2. Add more sessions if necessary: enter a number and click Add Sessions.
  3. Click Save to save your register.

If you change the settings of a register (for example, if you change which scheme is used), then all entered data regarding attendance will be lost. So make sure that all your settings are correct before the course starts.

Tracking attendance

You enter the attendance of participants in your course per meeting using the symbols you have set up in the Attendance Scheme.

  • Navigate to Course Admin in your course's navigation bar.
  • Click Attendance under Learner Management. You land on the overview of your attendance registers.
  • Click on the Register in which you want to register attendance.
  • Under Sessions you see the meetings for which you can enter attendance. After completing the form, you can see the status of each student for each meeting.
  • Under Totals you can see how often a student has achieved a certain status (present, absent, etc.).
  • Under Attendance you can see the score for each student. If a student is below the set minimum percentage, the value is colored red and there is a warning triangle next to it.
  1. Click on the agenda icon next to a meeting to enter the attendance per student for that meeting.
  1. For each student, select whether the student attended or not from the drop-down menu. You can choose any option you have set in the Attendance Scheme.
  2. You can mark multiple students as present or absent at the same time. Check the students in question and click Set Status to mark the selected students.
  3. Click on the question mark next to Attendance Status to see a reminder of what the set symbols mean.
  4. Click on Save to save the changes and Close to return to the overview.

Make attendance visible to students

At the moment it is not yet possible to make the attendance tool visible to students

  1. Click on the arrow next to the name of your attendance list
  2. Click "Make Visible to Users"

It is also possible to make several lists visible at the same time

  1. Select all the lists you want to make visible
  2. Click on "More actions"
  3. Click "Make Visible to Users"

Export attendance lists

Navigate to your list by clicking on its name. Then click on Export All Data. A new screen will appear where you can download your list.
